2. Who This Policy Covers
This policy applies to tenants, prospective tenants, landlords, property managers, account holders, people who contact support, website visitors, and anyone who uses RentRight services.

- Name, email address, phone number, role, account identifiers, login details, verification level, and profile photo where provided.
- Tenant profile data
- Rental preferences, budget, areas of interest, move-in timing, household preferences, tenant bio, selected visibility settings, and profile information shared with landlords when the platform requires it.
- Private tenant readiness data
- Employment details, income or affordability information, supporting references, rental history, and documents uploaded for verification or review.
- Landlord and property data
- Landlord profile details, company name, website, property address or location, listing details, rent, availability, photos, moderation status, and listing lifecycle information.
- Verification data
- Identity documents, readiness proof, supporting references, landlord authority documents where uploaded, review notes, verification events, and staff review outcomes.
- Payments and transaction data
- Stripe checkout references, payment status, listing fee records, currency, amount, invoices, and accounting or audit records.
- Messages and support data
- Messages between tenants and landlords, support requests, complaints, feedback, moderation notes, and operational communications.
- Technical and usage data
- IP address, device and browser data, security logs, cookie or local storage identifiers, pages viewed, actions taken, and troubleshooting information.
4. How We Collect Data
We collect data directly from you when you create an account, complete a profile, list a property, upload photos or documents, verify your phone, message another user, pay a listing fee, contact support, or use the platform.
We collect some data automatically when you use RentRight, such as device, session, security, and cookie data.
We may also receive data from service providers, hosting providers, analytics providers if enabled, fraud-prevention tools, or other parties where lawful and relevant.

6. Tenant Verification and Sensitive Documents
RentRight may ask tenants to upload identity, readiness, income, affordability, or reference documents so staff can review whether a profile is ready for landlord conversations. Tenants should redact PPS numbers, tax references, medical deductions, pension details, union deductions, or unrelated personal information before upload where those details are not needed for review.
Unless the platform clearly says otherwise, landlords do not receive full payslips or full uploaded verification documents. Landlords may see profile information, messages, and verification outcomes such as approved, pending, rejected, or needs review where relevant.
Uploaded verification documents are stored with restricted access. Access is limited to authorised RentRight staff and service providers who need it for verification, safety, legal, security, fraud, or dispute purposes.
7. What Other Users Can See
Tenant information may be visible to landlords when a tenant likes, saves, applies for, enquires about, or messages about a property. This may include relevant profile details, preferences, visibility-controlled summary fields, verification status, and messages.
Landlord and property information may be visible to tenants, including landlord profile details, property details, photos, approximate or exact location where shown, rent, availability, listing status, and messages.
Users must use other users' data only for genuine rental-related purposes and must not use it for unrelated marketing, discrimination, harassment, scraping, or unauthorised sharing.
8. Service Providers and Sharing
We share personal data only where necessary and lawful. Recipients may include hosting, database, authentication, storage, payment, SMS, email, analytics, security, support, accounting, legal, insurance, and professional service providers.
Current core service categories include Supabase for authentication, database, and storage; Stripe for payments; and Twilio where SMS verification is enabled.
We may share data with regulators, courts, law enforcement, advisers, insurers, auditors, or potential buyers or investors where required or appropriate and subject to safeguards.
9. International Transfers
Some providers may process data outside Ireland or the European Economic Area. Where this happens, RentRight uses lawful transfer safeguards such as adequacy decisions, Standard Contractual Clauses, transfer risk assessments, or other mechanisms required by data protection law.
10. Retention
- Account data
- Kept while the account is active and for a reasonable period afterwards where needed for legal, security, fraud, accounting, dispute, or platform records.
- Tenant profile and application data
- Kept while active and then retained only as needed for safety, dispute, fraud-prevention, legal, or platform records.
- Verification documents
- Kept only as long as needed for verification, security, fraud, dispute, or legal purposes. RentRight aims to delete or anonymise documents when they are no longer required.
- Verification outcomes and audit records
- May be retained longer than the underlying documents to evidence review outcomes, prevent abuse, and support platform trust.
- Messages, moderation, and support records
- Kept while needed for service operation, safety, support, dispute resolution, fraud prevention, or legal protection.
- Payment, tax, accounting, and legal records
- Generally kept for up to 6 years or longer where required by law, audit, tax, dispute, or regulatory obligations.
- Technical, security, and analytics logs
- Kept for a limited period appropriate to security, troubleshooting, analytics, and fraud-prevention purposes.
11. Cookies and Similar Technologies
RentRight uses essential cookies and similar technologies to keep the website secure, maintain sessions, remember preferences, and provide requested services.
Analytics, advertising, or other non-essential tracking technologies are used only where legally permitted and, where required, after consent. See the Cookie Policy for more detail.
12. Matching, Recommendations, and Profiling
RentRight may use profile information, property preferences, location, budget, verification status, listing details, and platform activity to show relevant listings, improve search results, suggest matches, support verification, and reduce unsuitable enquiries.
RentRight does not make solely automated decisions that produce legal or similarly significant effects without appropriate safeguards.
13. Your Data Protection Rights
To exercise your rights, contact sales@rentright.ie. We may need to verify your identity before responding. We aim to respond to valid requests within one month, subject to lawful extensions where a request is complex.
